Agency guide: remediating client alt text at scale

A practical SOP for WordPress agencies: scope the work, prove the gap, prioritise pages that matter, bulk-draft with human approval, and report coverage without overclaiming accessibility.

1. Scope the engagement

  • Define in-scope content types: posts, pages, products, PDFs/embeds (usually out).
  • Agree style rules: length, brand names, language, decorative policy.
  • Set a coverage target (e.g. featured images on top templates) — not “every pixel forever.”
  • Clarify that this is remediation + process, not a full WCAG audit certificate.

2. Prove the gap

Before kickoff, run the free image SEO audit on 5–10 public URLs. Screenshot results for the SOW. Spot-check a few Media Library items in staging if you have access.

3. Prioritise by client value

  1. Money pages — home, key services, top products
  2. High-traffic templates — category hubs, blog index heroes
  3. Long-tail library — remaining attachments with empty/weak alt

4. Execute with review-before-save

Install OpptiAI Alt Text Generator, scan missing/weak alt, generate in batches, and approve before save. Never promise “set and forget AI.” See the bulk alt text workflow.

5. QA sample & style guide

Sample 10–20 approvals per batch. Reject filename-as-alt, stuffing, and wrong-product drafts. Train juniors with the alt text grader.

6. Report coverage

Report operational metrics clients understand: % of in-scope attachments with non-empty reviewed alt; sample before/after strings; remaining backlog size. Offer a monthly “new uploads” retainer so the gap does not reopen.
